Suntronix - Chennai ("SUNTRONIX", "we") operates SUNTRONIX ONE, a platform used to quote, supply, deliver, track and support IT devices for business customers and their employees. For personal data processed in SUNTRONIX ONE we act as a Data Fiduciary under India's Digital Personal Data Protection Act, 2023 (DPDP Act). Where we process data on behalf of a business customer (for example, its employees' delivery details), that customer decides why the data is processed and we process it on its instructions.
Account details of business users (name, work email, phone, role, company); employee / recipient details provided by your employer for device delivery (name, phone, delivery address, employee ID, preferred language); device and asset records (model, serial number, assignment history); order, invoice and payment records; support tickets and messages; sign-in and security logs (IP address, device / browser, time). We do not knowingly collect data of children.
To create and fulfil quotations and orders; verify delivery addresses; generate delivery challans, labels and invoices; arrange courier delivery; send order, delivery, payment and support notifications; provide device lifecycle tracking and support; keep accounts secure and prevent fraud; and meet legal, tax and accounting obligations. We process data on the basis of your consent, your employer's instructions, or the legitimate uses permitted under the DPDP Act, including performing a contract and complying with law.
Only with service providers who help us run the service, under confidentiality obligations: courier and logistics partners (to deliver devices), email and WhatsApp messaging providers (to send notifications), cloud hosting and database providers, and payment / banking partners. We may disclose data when required by law or a lawful order. We do not sell personal data.
Account data for as long as the account is active. Order, invoice, delivery and payment records for 8 years to meet Indian tax and accounting law. Device and asset history for the life of the device plus 3 years. Support and message records for 3 years. Security logs for up to 1 year. After that, data is deleted or anonymised.
You may ask to access a summary of your personal data, correct or update it, have it erased where we no longer need it (subject to legal retention), withdraw consent (this does not affect processing already done), and nominate another person to exercise your rights. Employees whose data was provided by an employer may also contact their employer. We reply within 30 days.
Data is encrypted in transit (HTTPS), access is limited by role and by company, passwords are stored hashed, and sign-ins are protected against repeated guessing. If a personal data breach occurs we will inform affected persons and the Data Protection Board of India as the DPDP Act requires.
